Education and Training Data Integration
Training providers and education bodies run their customers in the CRM and their invoices in the ERP. Rapidi keeps the two holding the same accounts, orders and payments, so staff answer a customer's question without calling finance.
Why education and training organisations struggle with integration
The same problems turn up in almost every education and training organisation we are called into.
- Staff work in the CRM, but whether an invoice has been paid is only known in the ERP, so they call finance or work from an old report.
- A new school, member or client is entered twice, once in each system.
- Several brands or programmes share one CRM and one ledger, and custom code joining them breaks when either system updates.
- The IT team is small, so an integration that needs daily care is one it cannot afford.
- The ERP is an older Dynamics version that most integration tools no longer reach.
Each one costs time that should go to learners, and together they leave the front office and finance working from different numbers.
Why education and training organisations choose Rapidi
- Decades on these systems. Rapidi has connected Microsoft Dynamics and Salesforce since long before either was in the cloud, including the versions education organisations still run.
- No code. Transfers are configured on screen, so an integration does not become a development project.
- Older ERP versions included. Dynamics NAV back to the early Navision releases connects, not only the current products.
- Built for several brands and entities. Several companies or databases can run on one setup rather than one integration each.
- On-premise reachable. An ERP inside your own network is connected without opening inbound ports.
- Transparent cost. Published pricing, so the budget does not depend on a scoping exercise.
- Support from people who know both systems. An in-house team, not a ticket queue.
What you get out of it
Less manual work
Transfers run on their own, so nobody enters a new customer twice.
Payments staff can see
Invoices and payments line up between the CRM and the ERP, so the answer is current.
Cleaner accounts
One record per customer, kept the same in both systems.
Every brand in one place
Brands and programmes report into the same picture instead of a spreadsheet each.
Lower build cost
Pre-built templates instead of a bespoke interface written and maintained for you.
Room to grow
Add a brand, a programme or a system without starting again.
How Rapidi connects your education and training systems
Ready-made templates on a secure cloud platform, joining the systems that enrol and invoice.
ERP and finance
Dynamics 365 Business Central, Finance and Operations, NAV, GP, C5 and Oracle NetSuite. Almost any other ERP, such as SAP or Syspro, connects through the generic interfaces.
CRM and sales
Salesforce, Dynamics 365 Sales and HubSpot, so the people talking to customers see orders, invoices and payments.
Databases and reporting
Microsoft SQL Server, MySQL, Oracle, IBM DB2 and Google BigQuery, for the reporting layer the organisation already uses.
Three steps, no developer
- Connect. Choose the systems you want to integrate.
- Configure. Set up the transfers on screen, field by field.
- Sync. Data moves automatically, in real time or on the schedule you set.
What that looks like in practice
Educate 360 runs five professional training brands on one Salesforce org and one Business Central ledger. Its custom APIs could not carry the volume and broke on every semiannual update. Rapidi replaced them with a no-code integration that now syncs 100+ transactions a day across all five brands, including class schedules, venues and event codes.
In their own words
What customers say
“Having this integration has increased our productivity, both for operations and finance. It has allowed us to keep the accounts cleaner.”
Chief Financial Officer, AdvancED
“The peace of mind Rapidi brings, knowing our data integration runs smoothly in the background, allows us to focus on our core mission of providing quality education. It is an essential part of our IT strategy.”
Director of Information Technology, Educate 360
“We have a very small IT department supporting a very large global organization, so we really need to have robust systems that integrate directly and that don’t need a lot of care and maintenance on our end and can run autonomously.”
Information Technology Director, The Ken Blanchard Companies
Frequently asked questions
Which ERP systems can Rapidi connect for an education or training organisation?
Microsoft Dynamics 365 Business Central, Finance and Operations, Dynamics NAV, Dynamics GP, Dynamics C5 and Oracle NetSuite all have their own connector. Rapidi is flexible enough to integrate Salesforce with almost any other ERP, such as SAP or Syspro, through the REST, OData and ODBC interfaces.
We run several brands. Can one setup cover them all?
Yes. Rapidi is built for organisations that run several companies or databases, so the same configuration can serve more than one brand or entity rather than needing an integration each.
Our finance team still runs an old Dynamics NAV. Is that a problem?
No. Rapidi connects Dynamics NAV from the early Navision releases through NAV 2018, as well as Business Central. Older versions connect through C/Front, later ones through SQL and Web Services.
How often does the data move?
In real time when a record changes, or on a schedule you set per object: daily, hourly, every 10 minutes, every minute or triggered, depending on the subscription plan. Invoices and payments can move as they change while the course catalogue syncs overnight.
Can Rapidi reach an ERP that runs on our own servers?
Yes. The RapidiConnector sits inside your network and uses one outbound port, with no fixed IP addresses and no inbound ports to open. Traffic is encrypted with TLS 1.2 or 1.3.
