Order to Cash Integration Between Your CRM and ERP

Once a customer has ordered, the order has to reach the ERP, get fulfilled, invoiced and paid, and the sales team needs to see each step. Rapidi moves the order and sends the status back, with no code.

What order to cash covers

Order to cash starts when the order exists. From there, the ERP does the work and the CRM shows the result.

Order into the ERP

A won deal becomes a sales order in the ERP. With HubSpot and Business Central, its line items, discounts and customer data go with it. Nobody keys the same order into both systems.

Fulfilment and order status

The order syncs back to the CRM and keeps syncing through order changes, part delivery, part invoicing and product substitutions.

Invoices

Posted sales invoices and credit memos come back to the CRM, so the account shows what was ordered and what was billed.

Payments

Payments come back as ledger entries or customer transactions, so the account shows balance, payment patterns and overdue amounts.

  • Orders are entered in the CRM or a portal, then typed into the ERP again.

How an order travels

The order goes one way. The status comes back.

  1. Order to sales order. When a HubSpot deal is marked Closed Won, or an opportunity is won in Salesforce or Dynamics 365 Sales, it goes to the ERP as a sales order.
  2. Order number back. In Salesforce and Dynamics 365 Finance, the Finance order number is written back to the opportunity.
  3. Sales order to order. ERP sales orders update the CRM order, so the order number, amount and status show on the company or account.
  4. Posted invoices. Posted sales invoices, and credit memos where you add them, move from the ERP to the CRM, so sales sees invoice history without asking finance.
  5. Payments. Ledger entries or customer transactions complete the order to cash loop and surface payment patterns and overdue amounts on the account.

How it works

Each transfer has its own direction and its own schedule.

  • Direction per transfer. Orders can sync both ways, and invoices and payments go from the ERP to the CRM. The direction is chosen transfer by transfer.
  • Schedules you set. Daily, hourly, every 10 minutes, every minute, or triggered, depending on your subscription level.
  • Only new and changed data. Timestamps where tables carry them, and Mirror where they do not, so only new and changed data moves.
  • Errors you hear about. Rapidi records every schedule and transfer, with no customer data, and sends an email when a transfer hits an error.
  • Fewer double licences. Orders and posted invoices come back to the CRM, so many users do not need a licence for both systems.

Order to cash or quote to cash?

Order to cash starts once the order exists. Quote to cash starts earlier, at the quote in the CRM, so it also covers products, prices and the step from quote to order. If your sales team builds quotes in the CRM, look at quote to cash.
