Data Integration for Finance Teams

Sales works in the CRM, finance works in the ERP, and someone ends up chasing orders, invoices and payments between the two. Rapidi sends orders into the ERP and brings invoices and payments back to the CRM, so both teams work from the same figures. No code.

Where finance loses time

Most of it goes on copying and checking what another system already knows.

  • Orders arrive from the CRM by email or export, and someone types them into the ERP again.
  • Sales asks finance whether an invoice has been paid, because the CRM cannot show it.
  • Account managers go into customer meetings with a payment report that is already out of date.
  • The customer in the CRM and the customer in the ERP no longer match, so the reports do not tie out.
  • A deal is sold to an account that finance has put on hold.
  • People who only need to look up an invoice take up an ERP licence.

What Rapidi does for finance

The ERP keeps handling invoicing and payment. The CRM shows the result.

Orders arrive ready to process

A won deal becomes a sales order in the ERP. With HubSpot and Business Central, its line items, discounts and customer data go with it, so nobody keys the same order twice.

Invoices go back to sales

Posted sales invoices and credit memos come back to the CRM, so account managers see what was billed without asking finance.

Payments and overdue amounts

Payments come back as ledger entries or customer transactions, so the account shows balance, payment patterns and overdue amounts.

Credit status reaches sales

A customer's credit status and balance reach the sales team, so nobody sells to an account finance has put on hold.

Why finance can rely on it

You decide what moves, which way, and how often.

  • Direction per transfer. Invoices and payments go from the ERP to the CRM. Orders can sync both ways. The direction is chosen transfer by transfer.
  • Schedules you set. Daily, hourly, every 10 minutes, every minute, or triggered, depending on your subscription level.
  • Only new and changed data. Timestamps where tables carry them, and Mirror where they do not, so only new and changed data moves.
  • Errors you hear about. Rapidi sends an email when a transfer hits an error, and records every schedule and transfer, with no customer data.
  • No customer data stored. Data is processed end point to end point in memory. No customer data is stored on any Rapidi server, and configuration data is stored encrypted.
  • Fewer double licences. Orders and posted invoices come back to the CRM, so many users do not need a licence for both systems.

Three steps, no developer

  1. Connect. Choose the CRM and the ERP you want to integrate.
  2. Configure. Start from the template for your pair and adapt the transfers on screen, field by field.
  3. Sync. Orders go to the ERP, and invoices and payments come back, on the schedule you set.

Payment status in Salesforce, not in a printed report

At AdvancED, a sales order from Salesforce reaches Dynamics NAV as an unposted invoice. Finance checks and posts it, and the posted invoice and every payment synchronise back to Salesforce. Before, schools sometimes paid the same invoice twice because field staff worked from an old report.

Invoicing moved to the system that is cheap to change

WBCSD creates sales orders in Salesforce. When a customer accepts, Salesforce sends the invoice and books it in Dynamics NAV. General ledger entries are copied into Salesforce for reporting. The integration has run since 2015.

In their own words

“The frustration level of staff has decreased as our collections performance has increased.”

Rosario Rodriguez
Chief Financial Officer, AdvancED

“We are now able to do some of the heavy work on Salesforce and let the integration copy everything we need on NAV. It has considerably reduced some amount of our work and has increased efficiency.”

Mahdi Sbeiti
Manager, Information and Communication Technologies, WBCSD

Frequently asked questions

How does Rapidi help a finance team?

It sends won deals and orders from the CRM into the ERP as sales orders, and brings posted invoices, credit memos and payments back to the CRM. Sales sees what was billed and paid without asking finance.

Does finance still post invoices in the ERP?

Yes. The ERP handles invoicing and payment. At AdvancED, an order from Salesforce arrives in Dynamics NAV as an unposted invoice, and finance checks and posts it before it syncs back.

Can sales see overdue amounts and credit status?

Yes. Payments come back as ledger entries or customer transactions, so the account shows balance, payment patterns and overdue amounts. Credit status and balance can reach the sales team too.

How do we know the figures are reliable?

Each transfer has its own direction and schedule, and only new and changed data moves. When a transfer hits an error, Rapidi sends an email, and it records every schedule and transfer.

Does Rapidi store our financial data?

No. Data is processed end point to end point in memory. No customer data is stored on any Rapidi server, and configuration data is stored encrypted.

Does everyone in sales need an ERP licence?

Often not. Orders and posted invoices come back to the CRM, so many users do not need a licence for both systems.

Which systems does it cover?

Rapidi publishes templates for HubSpot with Business Central and Dynamics 365 Finance, Dynamics 365 Sales with Business Central, and Salesforce with Business Central, Dynamics 365 Finance, NAV, AX, GP and Oracle NetSuite.
