Timing you set per schedule
Transfers are grouped into schedules, and each schedule has its own order, frequency and notification rules: daily, hourly, every 10 minutes, 5 minutes, 1 minute or triggered, depending on your subscription.
Bidirectional over OData
Business Central supports reading and writing over OData, including insert, update and delete. Data moves both ways rather than one system dictating to the other.
Failed transfer reporting
When a transfer fails, Rapidi emails you, and the log records every schedule and transfer run. The Rapidi wiki lists the HubSpot errors you are most likely to meet, from duplicate records to rate limits.
Reaches systems inside your network
Business Central online connects directly over OData. For a local installation, or an Azure instance you control, the RapidiConnector runs inside your network and connects out to Rapidi, so Business Central is never opened to the internet.
Access you authorise
You connect HubSpot from MyRapidi with Authorize, signing in to HubSpot and choosing the account yourself. Business Central signs in through an app you register in your own Microsoft Entra ID, with admin consent and a client secret you control.
What the setup needs on each side
The standard solution is designed to change as little as possible in HubSpot and Business Central. These are the few things it does need.
- An ExternalID field on the Business Central customer, contact and item cards, which stores the HubSpot record ID. You can use an existing field instead of creating one.
- An ExternalID field on HubSpot companies and contacts, which stores the Business Central customer or contact number.
- The Rapidi custom objects for posted sales invoices and posted sales invoice lines, uploaded to HubSpot.
- A HubSpot workflow that puts the deal ID on the deal's line items, so the order header and lines travel to Business Central together. Rapidi provides the workflow details and the code.
- Publishing the Business Central system audit fields is recommended, so the timestamps act as source control and only new and changed records move.
- No HubSpot Data Hub subscription, formerly Operations Hub.
Eight transfers, and what each one does
The seven transfers in the standard template, plus the extra objects you can add, and why each one earns its place.
1. Company to Customer
Companies and customers sync both ways, and the Business Central customer number is kept in HubSpot. A company created or updated in HubSpot creates or updates the customer in Business Central.
2. Contact to Contact
Contacts sync and are linked to the right customer. Pick HubSpot or Business Central as the system of record, or sync both ways.
3. Item to Product
Items move from Business Central to HubSpot products, so the HubSpot product catalogue stays aligned with the Business Central item list.
4. Item price to Product price
Item prices move from Business Central to HubSpot, so quotes reflect the pricing rules set in the ERP.
5. Deal to Sales order
A won deal becomes a sales order in Business Central, with line items, discounts and customer data. Sales stays in HubSpot, and finance gets the order without re-keying.
6. Sales order to Order
Business Central sales orders sync to HubSpot orders, and updates flow both ways, so the order number, amount and status show on the company.
7. Posted sales invoices
Posted sales invoices move from Business Central into the HubSpot custom object for posted sales invoices, so sales sees invoice history without asking finance.
8. Credit memos and more
Beyond the standard template you can add credit memos, attachments, engagement activities and custom objects, in either direction.

Security and deployment
Your systems are never exposed to the outside world.
- Business Central online connects directly over OData. Local Business Central, or an Azure instance you control, goes through the RapidiConnector, which sits inside your network and compresses, packs and encrypts data before it leaves.
- Encryption follows the current TLS standards, TLS 1.2 and TLS 1.3 preferred. You can use your own SSL certificate.
- One outbound port. No fixed IP addresses, and no inbound ports opened on your firewall.
- Data is processed end point to end point in memory. No customer data is stored on any Rapidi server, and configuration data is stored encrypted.
- Rapidi monitors your setup and contacts you when a server stops responding or invalid data is being exchanged.
- The connector protocol strips metadata and sends compressed binary, cutting data volume by up to a factor of 50: roughly 20 bytes per customer record instead of 1000.

No. The RapidiConnector sits inside your network and uses one outbound port, with no fixed IP addresses and no inbound ports. Traffic is encrypted with TLS 1.2 or 1.3. Business Central online connects directly over OData.
How are duplicate records avoided?
Records are matched on the IDs each system gives them. When Rapidi creates a record, the new ID is written back to the ExternalID field in the other system, so the pair stays linked on every later run.
Is our data stored on Rapidi servers?
No. Data is processed end point to end point in memory. No customer data is stored on any Rapidi server, configuration data is stored encrypted, and the logs record every schedule and transfer without holding customer data.
Does the sales team need a Business Central licence?
Often not. Deals become sales orders in Business Central automatically, and orders and posted invoices come back to HubSpot, so many users do not need both HubSpot and Business Central.
