Non-Profit and Membership Data Integration

Non-profits and membership organisations keep members and events in one system and the money in another. Rapidi keeps the CRM and the finance ERP holding the same data, so staff hours go to the mission instead of reconciling two databases.

Why non-profits struggle with integration

The same problems turn up in most membership organisations we are called into.

  • Members, contacts and events live in the CRM, while invoices and the ledger live in the finance system, and staff reconcile the two by hand.
  • Membership and event invoices are typed again from one system into the other, which takes time and introduces errors.
  • Changing a process inside the finance ERP is slow and costly, so old workflows stay in place.
  • Management reports wait for someone to export figures from the finance system.
  • A small IT team has no room for an integration project that needs developers.

Each one takes time away from the work the organisation exists to do.

Why non-profits choose Rapidi

  • Decades on these systems. Rapidi has connected Microsoft Dynamics and Salesforce since long before either was in the cloud.
  • No code. Transfers are configured on screen, so an integration does not become a development project.
  • Transparent cost. Published pricing, so the budget does not depend on a scoping exercise.
  • Older ERP versions included. Dynamics NAV back to the early Navision releases connects, not only the current products.
  • On-premise reachable. An ERP inside your own network is connected without opening inbound ports.
  • Support from people who know both systems. An in-house team, not a ticket queue.

What you get out of it

Less manual work

Transfers run on their own, so nobody re-types a contact or an invoice that already exists in another system.

Invoices that line up

Orders, invoices and payments match between the CRM and the finance ERP.

Change the process where it is cheap

Run the day-to-day process in the CRM and let the integration post the result to the finance system, where the record belongs.

Reports on real figures

When ledger data is part of the transfer, reports in the CRM sit on the finance system's own numbers.

Lower build cost

Pre-built templates instead of a bespoke interface written and maintained for you.

Room to grow

Add a system when the organisation changes, without starting again.

How Rapidi connects your non-profit systems

Ready-made templates on a secure cloud platform, joining the systems that hold your members and your money.

ERP and finance

Dynamics 365 Business Central, Finance and Operations, NAV, GP, C5 and Oracle NetSuite. Almost any other ERP, such as SAP or Syspro, connects through the generic interfaces.

CRM and member management

Salesforce, Dynamics 365 Sales and HubSpot, so the people who work with members see orders and invoice history.

Databases and reporting

Microsoft SQL Server, MySQL, Oracle, IBM DB2 and Google BigQuery, for the reporting layer you already use.

Three steps, no developer

  1. Connect. Choose the systems you want to integrate.
  2. Configure. Set up the transfers on screen, field by field.
  3. Sync. Data moves automatically, in real time or on the schedule you set.

What that looks like in practice

The World Business Council for Sustainable Development (WBCSD) is a CEO-led global organisation of over 200 leading businesses. It runs Salesforce for member relationships, financial reporting and events, and Microsoft Dynamics NAV as its finance ERP. Changing the slow invoicing process in NAV was expensive, so WBCSD moved it into Salesforce and lets the integration book the invoices in NAV. Rapidi has connected the two systems since 2015.

Frequently asked questions

Which finance systems can Rapidi connect for a non-profit?

Microsoft Dynamics 365 Business Central, Finance and Operations, Dynamics NAV, Dynamics GP, Dynamics C5 and Oracle NetSuite all have their own connector. Rapidi is flexible enough to integrate Salesforce with almost any other ERP, such as SAP or Syspro, through the REST, OData and ODBC interfaces.

Do we need developers to run the integration?

No. Transfers are configured on screen, field by field, so an integration does not become a development project.

Is Rapidi pricing published?

Yes. Pricing is published, so the budget does not depend on a scoping exercise.

How often does the data move?

In real time when a record changes, or on a schedule you set per object: daily, hourly, every 10 minutes, every minute or triggered, depending on the subscription plan. Invoices can move as they are raised while contact data syncs overnight.

Can Rapidi reach a finance system that runs on our own servers?

Yes. The RapidiConnector sits inside your network and uses one outbound port, with no fixed IP addresses and no inbound ports to open. Traffic is encrypted with TLS 1.2 or 1.3.
