Staffing and Recruitment Data Integration
Staffing companies place people from one system and pay them from another. Rapidi keeps the CRM your recruiters use and the ERP your payroll team uses holding the same data, so pay runs on time.
Why staffing companies struggle with integration
The same problems turn up in most staffing and recruitment firms we are called into.
- Placement and time data is captured in the CRM, but payroll runs in the ERP, so pay data has to cross between them every week.
- A rigid custom interface needs the vendor to write code for every new field.
- When a transfer stalls, nobody notices until a time-critical record is missing.
- One bad record, such as a mistyped date, holds up the payroll run while someone hunts for it.
- Recruiters and field staff cannot see pay information when a worker asks about it.
Each one lands on the payroll team, and payroll is the part a staffing company cannot get wrong.
Why staffing companies choose Rapidi
- Decades on these systems. Rapidi has connected Microsoft Dynamics and Salesforce since long before either was in the cloud.
- No code. Transfers are configured on screen, so an integration does not become a development project.
- Built for multi-entity groups. Several companies or databases can run on one setup rather than one integration each.
- On-premise reachable. An ERP inside your own network is connected without opening inbound ports.
- Transparent cost. Published pricing, so the budget does not depend on a scoping exercise.
- Support from people who know both systems. An in-house team, not a ticket queue.
What you get out of it
Payroll on schedule
Transfers run on their own, so pay data is in the ERP when the payroll team needs it.
New fields without a vendor
Transfers are configured on screen, so adding a field does not mean a development project.
Data in both directions
You decide object by object whether a transfer runs one way or both, so ERP data can come back to the CRM.
Every entity in one place
Subsidiaries and brands can run on one setup rather than one integration each.
Lower build cost
Pre-built templates instead of a bespoke interface written and maintained for you.
Room to grow
Add a company or a system when the business changes, without starting again.
How Rapidi connects your staffing systems
Ready-made templates on a secure cloud platform, joining the systems that place people and pay them.
ERP and finance
Dynamics 365 Business Central, Finance and Operations, NAV, GP, C5 and Oracle NetSuite. Almost any other ERP, such as SAP or Syspro, connects through the generic interfaces.
CRM and sales
Salesforce, Dynamics 365 Sales and HubSpot, so recruiters and account managers work from the same client data as finance.
Databases and reporting
Microsoft SQL Server, MySQL, Oracle, IBM DB2 and Google BigQuery, for the reporting layer you already use.
Three steps, no developer
- Connect. Choose the systems you want to integrate.
- Configure. Set up the transfers on screen, field by field.
- Sync. Data moves automatically, in real time or on the schedule you set.
What that looks like in practice
KTBLACK Services is a Texas staffing company that supplies skilled labour to employers across the United States, and payroll is one of the services it sells. Pay data moved from Salesforce to Microsoft Dynamics GP through a rigid XML process that would silently lock up, and a failed record took a day or two to fix. With Rapidi, failed records are fixed in minutes, most of the payroll process is completed on Thursday, and electronic pay stubs now flow back from GP to Salesforce.
In their own words
What customers say
“When a transfer fails, perhaps because someone entered a date as 2218 instead of 2018, it is easy to isolate the record in question, fix it within minutes, and have the synchronization process continue.”

“Now our transfers are running consistently, they never get backlogged, and the data is always there when we need it.”

Frequently asked questions
Which ERP systems can Rapidi connect for a staffing company?
Microsoft Dynamics 365 Business Central, Finance and Operations, Dynamics NAV, Dynamics GP, Dynamics C5 and Oracle NetSuite all have their own connector. Rapidi is flexible enough to integrate Salesforce with almost any other ERP, such as SAP or Syspro, through the REST, OData and ODBC interfaces.
Can we add a new field without a developer?
Yes. Transfers are configured on screen, field by field, so adding a field does not become a development project.
Can data move back from the ERP to the CRM?
Yes. You decide object by object whether each transfer runs one way or both, and any table can be integrated in any direction.
How often does the data move?
In real time when a record changes, or on a schedule you set per object: daily, hourly, every 10 minutes, every minute or triggered, depending on the subscription plan. Time data can move as it is entered while client records sync overnight.
Can Rapidi reach an ERP that runs on our own servers?
Yes. The RapidiConnector sits inside your network and uses one outbound port, with no fixed IP addresses and no inbound ports to open. Traffic is encrypted with TLS 1.2 or 1.3.
